This policy explains how we collect, use, store, share and protect personal data when you use our website, contact us, create or use a customer app account, use supported sign-in methods, request a quote, make or manage a booking, authorise or make payment, receive service updates, or contact us for support, complaints, refunds, account deletion or account-related issues.

The Woodham Taxi customer app is live. Additional short privacy notices or permission prompts may also appear in the app at sign-in, booking, payment, location-permission and notification-permission stages.

This policy mainly covers customers, website visitors and people who contact us about bookings. Separate or additional notices may apply to drivers, applicants, staff, contractors, dispatch users or business partners where relevant.

3. The Personal Data We Collect

Depending on how you use our services, we may collect and use identity and contact details, account and sign-in details, booking and journey details, location data, payment and transaction details, driver, dispatch and operational records, technical and usage data, communications and support records, and preferences.

We do not receive your Google or Apple password.

We do not store full payment card numbers or full card security codes on our own systems. Payments are handled through our payment service providers.

Please do not send us unnecessary sensitive personal information. If you choose to provide information relevant to accessibility, mobility, assistance needs, health, vulnerability or similar requirements, we will only use it where reasonably necessary, proportionate and permitted by law.

4. How We Collect Personal Data

We collect personal data directly from you, from supported sign-in providers, from payment providers, from drivers, dispatch users, service partners or operational systems, automatically through website, app, cloud, server, security and diagnostic logs, and through cookies or similar technologies where used.

If you make a booking for another person, you should only give us their personal data if you have authority to do so and they understand that their details may be used to manage the booking.

5. How We Use Personal Data

We use personal data to create, authenticate and manage customer accounts, provide quotes and booking services, calculate fares, verify and reconcile payments, confirm and manage bookings, send service messages, enable drivers and dispatch users to manage journeys, provide customer support, handle complaints and disputes, investigate safety or fraud issues, maintain service security, improve our systems, keep required records, comply with legal obligations, and send marketing communications where permitted.

We do not sell your personal data.

6. Our Lawful Bases

Depending on the purpose, we rely on one or more lawful bases under UK data protection law, including contract, steps at your request before a contract, legal obligation, legitimate interests, and consent.

Where we rely on consent, you can withdraw it at any time. This does not affect processing already carried out lawfully before withdrawal.

7. Accessibility, Assistance and Special Category Information

You may choose to tell us about accessibility needs, mobility equipment, assistance requirements, health-related requirements or vulnerability information so that we can consider and manage a booking appropriately.

Where this information is special category data under UK data protection law, we will only use it where we have a lawful basis and a permitted special category condition.

8. If You Do Not Provide Required Information

Some personal data is necessary for us to provide our services. If you do not provide the information needed for an account, quote, booking, payment, journey, support request or complaint, we may not be able to accept, confirm, manage or complete your booking.

9. Who We Share Personal Data With

We may share personal data with drivers, dispatch users, partner operators or subcontractors, payment providers, authentication providers, hosting, cloud, database and backend providers, mapping and location service providers, messaging and communication providers, analytics and monitoring providers, customer-support providers, professional advisers, insurers, legal advisers, regulators, licensing authorities, law enforcement agencies, courts, local authorities, and other technology providers where reasonably necessary.

10. Payment Providers

Payments are processed by third-party payment service providers. They may act as independent controllers or processors depending on the processing activity.

We use payment-related data to create and manage payment authorisations, payment intents, captures, refunds, receipts, fraud checks, disputes and reconciliation records.

11. Sign-In Providers

If you sign in using Google, Apple or another supported provider, that provider may share account identifiers and contact information with us, such as your name, email address or unique sign-in ID, depending on your provider settings and the sign-in method used.

12. Location, Maps and Route Services

We use pickup, destination, route and location-related information to provide quotes, calculate estimated fares, help set pickup points, support dispatch, manage journeys, improve service accuracy and resolve booking issues.

Where you allow device location access, your browser, operating system or device may ask for permission. You can usually disable or change location permissions through your device, browser or app settings.

13. Automated Processing

Some parts of the app and booking system may use automated processing to support booking, payment and dispatch operations, including quote preparation, fare calculation, payment verification, fraud checks, driver matching, dispatch ranking, route estimation, booking status updates and service notifications.

14. International Transfers

Some of our service providers may store personal data outside the UK or make it accessible from outside the UK. Where personal data is transferred outside the UK, we will take steps designed to ensure an appropriate level of protection is in place under applicable data protection law.

15. Marketing

We may send service-related communications about your account, booking, payment, cancellation, driver status, receipt, refund, complaint or customer support. These are not marketing messages.

Where we send marketing by email, text, push notification or similar electronic means, we will do so only where permitted by law.

17. How Long We Keep Personal Data

We keep personal data only for as long as reasonably necessary for the purposes described in this policy.

If you have booked or taken a taxi journey with Woodham Taxi, we may retain the minimum necessary related records for up to 6 years where required or reasonably necessary for legal, tax, accounting, regulatory, dispute-handling, fraud-prevention, payment, insurance or legal-claims purposes.

If you have not booked or taken a taxi journey with Woodham Taxi, your account data can usually be deleted without an extended retention period, subject to any limited technical, security, fraud-prevention, audit or legal records we may need to keep for a shorter period.

18. Account Deletion

You can request deletion of your Woodham Taxi customer account.

Deleting your account may remove or disable your customer profile and app access, but it may not delete all records connected with past bookings, payments, refunds, complaints, disputes, fraud prevention, safety, tax, accounting, insurance, legal or regulatory obligations.

19. Your Rights

Depending on the circumstances, you may have rights to be informed, access a copy of your data, ask us to correct data, ask us to erase data in some situations, ask us to restrict processing, object to certain processing, ask for data portability in some situations, withdraw consent where we rely on consent, and complain to the Information Commissioner’s Office.

We use reasonable technical and organisational measures to help protect personal data against unauthorised access, loss, misuse, alteration or disclosure.

No online service can be guaranteed to be completely secure, so you should also take care to protect your device, account details, email account and login credentials.

21. Children’s Data

Our customer app and account-based booking service are intended for users aged 18 or over.

We do not knowingly create customer accounts for children.

A customer may provide passenger details for a child where this is necessary for a booking and the customer has authority to do so.

22. Third-Party Services and Links

Our website or app may integrate with or link to third-party services. Those third parties may process personal data under their own privacy notices and terms. We are not responsible for the privacy practices of third-party services we do not control.

23. Changes to This Policy

We may update this policy from time to time. The latest version published on our website will apply from its stated effective date.
